The Australian Institute of Pharmacognosy operates from premises in Cardwell, Queensland. This notice explains the security monitoring we operate at those premises and how we handle the recordings. It sits alongside, and does not replace, our Privacy Policy.
This is a plain-English notice, not a consent form. If you have concerns about being recorded, please contact us before you visit.
What we monitor and record
- Video (CCTV): cameras cover the front gate, driveway, yard and entrances, and the laboratory.
- Audio: microphones record sound in the laboratory and in the yard near the entrance. A yard speaker may play spoken messages. Please treat the yard and laboratory as recorded spaces and do not hold private conversations there.
- Automated identification: in the laboratory and yard we use automated systems that attempt to recognise faces and voices, and to match people by general appearance, so that staff and expected visitors can be told apart from people the system does not recognise.
- Transcription: recorded audio may be automatically transcribed to text.
Why we collect it
To keep the premises, the people in them, and research materials and equipment secure; to control and log access; to identify people on site; and to respond to incidents. We do not use it for marketing.
Who sees it
Authorised Institute personnel and the site’s security function. Alerts may be sent to authorised staff. We may disclose recordings to police or other authorities where the law requires or permits, or to obtain legal advice. We do not sell or share recordings for any other purpose.
How long we keep it
Recordings are kept for a short period, about four days, and then automatically deleted, unless a specific recording is kept because it is needed for a security incident, a complaint, a legal requirement or an investigation.
Our network
Networks and equipment operated by the Institute are monitored and protected. Any device connected to an Institute network may be logged, restricted or disconnected at any time.

You can ask what personal information we hold about you, ask us to correct it, or complain about how we handle it, through our contact form (choose the topic “Privacy request”), or by writing to the Institute at Cardwell, Queensland.
